Epic Implementation Timeline

Our transition to Epic is a multi-phase journey designed to strengthen how we deliver care, improve workflows, and better support our teams, so we can continue providing exceptional care for every child and family we serve.

Where we are now: We are currently in the Pre-Work phase, focused on planning, alignment, and preparing for implementation.

Laying the Groundwork
April – June 2026
Laying the groundwork through planning, orientation, and readiness activities.

This foundational phase focuses on defining scope, aligning teams, and preparing the organization for the work ahead.

Orientation

Orientation aligns teams on the Epic project’s scope, timeline, and expectations, setting the foundation for the work ahead.

Orientation introduces teams to the Epic implementation, outlining the project scope, timeline, and expectations. It brings stakeholders together, establishes a shared understanding of goals, and prepares teams for the work ahead.

Workflow Validation & Configuration
July – December 2026
Building and configuring Epic to reflect organizational and workflow needs.

During this phase, teams begin making system decisions and configuring Epic to support clinical, operational, and content needs across the organization.

User & System Readiness
January – July 2027
Preparing people, technology, and processes for a successful launch.

This phase focuses on testing, deployment, and readiness efforts to help ensure the organization is prepared for go-live.

Training & Go-Live Preparation
July – September 2027
Equipping users with the tools, training, and confidence needed for transition.

As go-live approaches, training and hands-on preparation become the focus so staff feel informed, supported, and ready to work in Epic.

Stabilization
October – November 2027
Supporting teams after launch and fine-tuning the system for long-term success.

Following go-live, the focus shifts to supporting users, addressing issues, and helping the system perform as intended across the organization.

Epic Go-Live Target: Fall 2027

This milestone marks the official transition to Epic across the organization and reflects the work of teams across CHKD coming together to support a successful launch.
